Office Manager & Accounts Executive

A reputable law firm committed to delivering exceptional legal services to their clients are currently seeking a dynamic and experienced Office Manager & Accounts Executive to join their team. This role offers an exciting opportunity to play a pivotal role in the smooth operation of our office while managing crucial accounting functions.

Key Responsibilities:

  • Day-to-day responsibility for accounts, ensuring accuracy and compliance.
  • Conducting accounting postings and maintaining up-to-date records.
  • Handling all bank reconciliations and other financial reconciliations.
  • Credit control and compliance with relevant regulations.
  • Managing billing, invoices, and aged debt.
  • Generating reports for partners and overseeing necessary actions.
  • Provision and maintenance of office facilities.
  • Liaison with service providers and ensuring compliance with health and safety regulations.
  • Management of client areas and office inventories.
  • Ordering office supplies and managing purchase agreements with suppliers.
  • Allocation of work to administrative staff.
  • Sourcing temporary staff when necessary.
  • Staff management, including payroll and supervision.
  • Recruitment, training, and induction of administrative staff.
  • Maintenance of staff records and management of cover for sickness and holidays.
  • Liaison with IT providers to ensure appropriate infrastructure.
  • Development and enforcement of IT usage policies.
  • Management of the Case Management system and phone systems.
  • Efficient internal communication processes.
  • Management of incoming and outgoing correspondence.
  • Coordination of external couriers and document security.

Qualifications and Experience required :

  • Accounting Technician Qualification or equivalent.
  • Minimum of 3 years' experience in a similar role.
  • Previous experience in a legal practice is desirable.
  • Essential staff management experience.
  • Highly motivated with exceptional organisational skills.
  • Ability to take responsibility and act on own initiative.
  • Proficient in Microsoft Office and ideally Keyhouse Case Management.
  • Excellent communication skills and capacity to communicate effectively.
  • Understanding of the sensitive nature of the information handled, requiring absolute discretion and trust.
